Technical FAQ Answers

1) Print Preview Form Displays the Wrong Order of My Objectives

Yes, we apologize, this will be fixed for next year!  In the meanwhile, here is what you can do to re-order the objectives on your Print Preview Form:

Save your Print Preview Form as a Word Document. (Edit, Select All, Copy & Paste into Word).  Then in Word you CAN sort the Table that has your Objectives /Results.  First, enter either a number 1, 2, 3 or a letter a, b, c as the first character of your objectives.  Then Sort the Table by doing the following:

Highlight the entire Objective/Result Table

In Top Menu, click ‘Table’ and then ‘Sort’.

In the Sort Box:  Select Sort by ‘Objective” .  Note: Make sure the “My List Has: a Header Row is checked or you won’t be able to Sort by Objective.

Click OK and your Objectives should now be sorted in the order that you wish.

2) Can I click on any of the images in the tutorial?

No, the images in the tutorial are just images of what you will see in the real database. They are there to give you an idea of what to expect in the real database.

3) Can I begin using the Recognizing Performance Database without taking the tutorial?

It's recommended that you do read the Tutorial first. The tutorial is designed to answer many of the questions a new user will have about the database and will help you avoid mistakes and delays that otherwise could be avoided. Many users will take the tutorial first but there is no prescribed order that must be followed.

4) What skills do I need to use the system?

You will need basic web browsing knowledge, use of scroll bars, links, copying and pasting and printing from a web browser. All of these skills are discussed in the tutorial. Go to the start page for either the Manager or Employee tutorial to view this information.

5) What happens to my objectives and results after I submit them to my manager?

After you submit to your manager, you can no longer view your form until after your manager has completed his/her calibration meeting preparation and attended the calibration meeting.  This allows your manager privacy to complete your form which is an on-line shared document. ...

6) Why do my objectives not appear in the order I created them after I save my information?

Objectives and results are saved alphabetically. If you wish to keep them in an order that makes sense to you, put a letter at the beginning of your text. For example if you wanted  a particular group of objectives at the top you would preface them with a A., B., C. etc. You only need to do this to your objectives because your results are automatically tied to their corresponding objective.

7) Is there a spell check?

No, there is no spell check. If you are using Word to keep your objectives you may spell check in Word and copy and paste your objectives and results into the database.

8) Can I use special formatting when copying objectives from a Word document into the Recognizing Performance System

No, When using Copy & Paste you cannot use special formatting. Bulleted and Numbered lists will not show up properly in the Recognizing Performance Form.

9) Must I enter all of my objectives at once or may I enter some now and return later to complete my Recognizing Performance Form?

Yes, you may enter objectives, log out and come back later to enter more objectives. However, you must log completely out of the system, including closing your browser when doing this.

10) 1,000 Character Limit – Does this limit include spaces?

Yes, spaces are counted as characters.  The best way to check if you are within limits is to do a Word Count in Word (Highlight the text that you wish to count and go to the top menu, click Tools, Word Count).  Use the ‘Characters With Spaces’ count.

11) Can I access the ‘My Performance’ system from home?

It is possible to access the system from home if you have configured your home PC for remote access or ‘RAS’ to the ETS intranet.  You need to be able to access Infoline in order to log on.  Contact the Help Desk to arrange for RAS (remote access).  Please Note:  This Database is designed for our standard ETS desktops and only works on Internet Explorer 5.0 or higher.  It is not designed to work on a Netscape browser.

12) One Objective replicated/Copied several times?

Because the system has been slow, if you clicked the "save button" several times, it may have save your one objectives over and over again. Please delete unnecessary objectives.

13) I can't find the "Submit to Manager" button.

You must first click "Create/Edit Document for the "Submit to Manager" button to appear.

14) I can't find my 'Create/Edit Document' button.  How do I get it back?

If you can't find the button, that means that the form is still in 'edit' mode and you should be able to edit any text boxes that you like.  If you can't edit and  you can't find the button, just refresh your screen by double clicking on the main tab that you are in, such as the 'My Performance' tab.  This should totally refresh your screen and the Create/Edit button should reappear.

Process FAQ Answers
1) How are the calibration groups created?

Calibration groups are intended to be 'peer comparison" groups for the calibration process and are created by your Division leadership in collaboration with your Division Human Resource Consultant.  A typical calibration group will have employees within your Division who are in  a similar job level / job family.

2) Should I talk to my manager about my objectives?

Yes, not only now but throughout the year!  This is supposed to be a collaborative effort between you and your manger. Your manager can view your objectives in the database before you actually submit them. Ask your manager to look at your objectives and results to make sure they reflect everything of significance you have done over the past year.

3) If you receive am e-mail of recognition from a manager on a certain project, how are these to be incorporated into the objectives?

Yes, if you received an e-mail of recognition on a project you should include this in your results summary .

Objective: Complete x project by x date with the following measures...

Results: Completed x project on time and overcame 3 significant challenges. Received a letter of recognition from (a client / customer/ manager) about how pleased they were with X.

Also, if your manager was the one who sent the letter of recognition they can include the email in their manager comments:

Objective: Complete x project by x date with the following measures...

Results: Completed x project on time and overcame 3 significant challenges. Received a letter of recognition from (a client / customer/ manager) about how pleased they were with X.

Manager Comments: This was a significant accomplishment and helped us …(save money, improve a process, solve a difficult problem etc.) In addition, letter of recognition sent from (mgr, client, customer) stating that X did a great job on…

If you received an e-mail of recognition from someone else, be sure that your manager has a copy.

4) Where did the section entitled "Extraordinary Performance Beyond Duties of Regular Job" go?

Please note that we have removed the Above & Beyond section because in order for people to "get credit" for "Above & Beyond" type objectives, they must be entered in the same place as other objectives. They employees supervisor should make sure that these objectives are entered in the main objective/result section of the Recognizing Performance Form.

5) Why can’t I enter anything in the Development Planning section of the Form?

Just as last year, the Development Planning section of your on-line Performance Form is completed by your manager.  Therefore, you do not have any editing access to this tab.  Usually, your manager will complete this section of the form after the Calibration Meeting.
